Bookkeeping as a Career in India: Skills, Pay and How to Start
Bookkeeping does not get written about much because it is not exciting. It is also one of the most reliable entry points into professional work in India: every business needs it, the skills are teachable in months rather than years, and the work transfers cleanly between industries and countries.
What the job involves
A bookkeeper maintains the financial record of a business โ accurately, on time, and in a form someone else can rely on. Day to day that means:
- Recording transactions. Sales, purchases, expenses, payments, receipts โ entered against the right ledger.
- Bank reconciliation. Matching the books to the bank statement and chasing down whatever does not agree. This is the core skill of the job.
- Accounts payable and receivable. Who owes the business money, who the business owes, and what is overdue.
- Invoicing and follow-up. Raising invoices, applying the right GST treatment, chasing payment.
- Payroll support. Salary registers, PF and ESI deductions, payslips.
- Month-end close. Getting everything reconciled and producing a clean trial balance the accountant can work from.
If a single word describes what employers value in a bookkeeper, it is accuracy. A fast bookkeeper who makes errors creates more work than they save. A careful one who closes the month cleanly is quietly indispensable.
Bookkeeper, accountant, CA
| Role | Does | Typical entry |
|---|---|---|
| Bookkeeper | Records and reconciles transactions | Commerce background or 3โ6 months of training |
| Accountant | Interprets the records, prepares statements, handles compliance | B.Com plus experience, or M.Com |
| Chartered Accountant | Audit, assurance, statutory sign-off, advisory | ICAI qualification โ years of study and articleship |
Bookkeeping is the entry rung and a genuine career in itself. It is also the standard route into accounting proper โ most accountants started by reconciling somebody's bank statements.
Skills and tools
The concepts you cannot skip
- Double entry. Every transaction hits two accounts. Understand this properly and everything else follows; skip it and you will forever be pattern-matching.
- Debits and credits and which way they move for each account type.
- The chart of accounts โ how a business organises its ledgers.
- Accruals vs cash basis. When a transaction is recognised.
- Reconciliation logic. Why the books and the bank disagree, and how to find the difference systematically.
The tools
| Tool | Where it matters |
|---|---|
| Tally Prime | The default for Indian domestic business. Learn this first if you are targeting Indian employers. |
| Excel / Google Sheets | Universal. Pivot tables, lookups, conditional formatting, basic formulas. |
| QuickBooks Online | The default for US, UK and Australian small business. Essential for remote international work. |
| Xero | Strong in UK, Australia and New Zealand. Common in outsourced bookkeeping firms. |
| Zoho Books | Growing in Indian SMEs and among startups. |
The strategic point: Tally opens Indian jobs. QuickBooks and Xero open remote work for foreign clients, which typically pays substantially more. Many Indian bookkeepers learn Tally first for employment, then add QuickBooks to move into outsourced or freelance work.
Compliance basics
You do not need to be a tax expert, but you should understand GST rates and invoice requirements, TDS basics and when it applies, and PF and ESI deduction rules. Employers assume familiarity with these even in junior roles.
What it pays
- Entry level (0โ1 year): โน12,000โโน22,000 a month, higher in metros.
- 2โ4 years: โน25,000โโน45,000 a month.
- Senior / accounts executive: โน45,000โโน80,000 a month.
- Remote for international clients: $6โ$20 an hour depending on the software and the complexity.
- Freelance, multiple small clients: โน3,000โโน10,000 per client per month; ten small clients is a reasonable full-time load.
The freelance route is worth taking seriously. Small businesses rarely need a full-time bookkeeper but always need someone. A bookkeeper handling eight to twelve small clients often out-earns an employed peer, with the trade-off of managing their own client relationships and collections.
How to break in
If you have a commerce background
You already have the theory. What you are missing is software fluency and practical reps. Three focused months on Tally and Excel, plus a set of practice books you have actually closed, makes you employable.
If you are changing careers
Budget four to six months. Learn double entry properly first โ resist the temptation to jump straight into software, because Tally will happily let you enter things incorrectly and look confident doing it. Concepts, then tool, then practice.
- Invent a small business โ a bakery, a hardware shop, a consultancy.
- Create three months of realistic transactions: sales, purchases, expenses, salary, GST.
- Enter all of it in Tally. Reconcile against a bank statement you also create, including two deliberate mismatches.
- Produce a trial balance, P&L and balance sheet for each month.
- Write a one-page note explaining what the mismatches were and how you found them.
That last step is what separates a candidate from a certificate holder. Anyone can say they know Tally. Being able to describe how you tracked down a โน4,500 difference between the ledger and the statement is a demonstration of the actual job.
Where the jobs are
- CA firms. The classic training ground. Modest pay, excellent learning, strong reputation on a CV.
- SME accounts departments. Broad exposure โ you touch everything.
- Outsourced accounting firms. These serve US, UK and Australian clients from India, use QuickBooks and Xero, and pay better than domestic roles.
- Freelance and virtual bookkeeping. Start with local small businesses; expand internationally once you have references.
Where it leads
Bookkeeping is a floor, not a ceiling. Common progressions: senior bookkeeper โ accounts executive โ accounts manager; or bookkeeper โ payroll specialist; or bookkeeper โ outsourced firm โ managing a client portfolio; or bookkeeper โ independent practice with a team of juniors. Several people also use it to fund a CA or CMA qualification while working.
Do I need a commerce degree?
It helps and it is what many employers advertise for, but it is not universal โ particularly in freelance and outsourced work, where demonstrated software skill and accuracy matter more.
Tally or QuickBooks first?
Tally if you want an Indian job. QuickBooks or Xero if you want remote work with foreign clients. Many people end up learning both within two years.
Is bookkeeping going to be automated away?
Data entry is being automated steadily. Reconciliation judgement, compliance decisions and client communication are not. The role is shifting toward review and advisory rather than disappearing.
How long before I can take freelance clients?
Most people need three to six months of training plus a couple of small real clients before they can handle an unfamiliar set of books confidently.
